Thomas Armour Youth Ballet seeks an experienced and dynamic Administrative Assistant to be the coordinating force in a
highly active dance training and youth empowerment after school programs in five locations across Miami-Dade. This is a
full-time position, working out of the South Miami administrative office. The environment can be fast paced with frequent
interruptions. A high degree of emotional intelligence combined with excellent people skills is a must. The Administrative

JOB DESCRIPTION
The Administrative Assistant provides high level administrative support and reports to and supports the work of the
Executive Director and Artistic Director ensuring that clerical and office management processes are efficiently and timely
executed.
DUTIES INCLUDE
· Responsible for organizing and managing operational files, both paper and electronic, correspondence, bills, and ED/
AD meeting schedule.
· Bills and Credit Card expense receipts - manages all monthly expense payments, creating all payments for ED signature,
organizing all credit card expenses and prepares supporting documents for the CPA and audit.
· Inventory of office supplies and ordering supplies as needed.
· Input expenses according to budget financials each month and support the Treasurer with any needed financial
information
· Disseminate metro passes. Act as liaison for Miami Dade Transit Disadvantaged program and create monthly reports
(program is paused during COVID because transit is currently free).
· Prepare packets and documents for meetings, mailings and grants.
· Supports ED in all grant requirements - grant billing, tracking of outcomes, foundation communications.
· Donor Management - Trailblazer maintenance, thank you letters, supports Marketing Director with Give Miami Day
activities, Manages and reports on all online donations.
· Performance support - manages Nutcracker/Spring Concert ticketing
· Space scheduler management
QUALIFICATIONS
· Highly organized and can manage multiple responsibilities and tasks independently.
· 3-5 years of experience in an administrative support role.
· Some nonprofit, afterschool programs and/or donor/grant management experience preferred.
· Proficient in MS Office, Excel, Power Point, Google Drive, and financial management software.
· Proficiency in Illustrator preferred.
