Development Executive Assistant

The Development Executive Assistant provides expert support to the VP of Development, assists the Development Department with all fundraising initiatives, projects and special events, and coordinates all board and committee meetings.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Assist the Vice President of Development in calendar management as well as propose new systems of organization and prioritization to ensure effective and efficient actions.
  • Manage and coordinate meeting logistics for the Vice President of Development and the Foundation Board, including the creation of agenda, handouts and PowerPoint presentations.
  • Provide record keeping for the VP of Development in team meetings; anticipate upcoming tasks and deadlines, and alert appropriate people as needed.
  • Assist the Vice President of Development and Development Staff in the coordination of prospect meetings
  • Work with the Development Department in creating strategic fundraising strategies.
  • Formulate reports, correspondences, proposals and PowerPoint presentations as needed for the Development Department.
  • Manage the relationship with WealthEngine as well as utilize the wealth screening tool to identify new prospects and further research prospects identified by the Development Department.
  • Formulate constituent mailing lists and assist with mail merges for all print and email fundraising appeals and communications activities.
  • Track actions and prospect proposals in Raiser's Edge.
  • Be accountable for the accurate generation and delivery of agendas and other documents.
  • Assist the Vice President of Development in drafting, proofreading, and signing of letters, confidential papers.
  • Manage and coordinate business trip scheduling and arrangements within budgetary requirements.
  • Attend all necessary internal and external meetings.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

  • Ability to establish rapport and engage a wide range of constituents.
  • Able to effectively and efficiently multitask, set priorities, shift priorities, and adapt to change
  • Able to handle projects and communications of a highly sensitive and confidential nature, where absolute discretion is critical.
  • High level proficiency in Windows based programs, including Word, Outlook, Excel, PowerPoint, Raiser's Edge and database management software required.
  • Able to work independently and as a member of a team in a fast-paced environment.
  • Able to exhibit appropriate, professional, and corporate demeanor, considerable tact, and courtesy when interacting with members of the public, Foundation Board, and PACA.
  • Able to work a flexible schedule, including nights, weekends, and holidays as needed.
  • Able to demonstrate original thinking and creativity; meeting challenges with resourcefulness; develop innovative approaches and ideas and present them in a clear and effective manner.
  • Able to use excellent communication skills, both verbal and written, in English.

REQUIRED EDUCATION AND EXPERIENCE

  • BA: Business or any equivalent experience.
  • Minimum of 2 years of relevant experience supporting a senior level executive (preferred).
