Summary Description:
Position reports to Executive Director, supporting the advancement of the mission of the Dranoff 2 Piano Foundation, achieving increased value and success in the world of music and the cultural community of South Florida.
Responsibilities include but are not limited to:
- Support Executive Director; responsible for organizing administrative and clerical tasks, as well as managing Executive Director’s calendar
- Preparation for and coordination of Board of Directors meetings, minute taking necessary
- Compose correspondence and create documents such as artist contracts
- Review, proof, and assemble grant and program documents
- Coordinate complimentary tickets for the Executive Director and members of the Board.
- Collect and research data for financial report preparation, to be presented at Board of Directors meetings
- Assist CPA with payables and receivables
- Assist Dranoff artists in travel, accommodation and hospitality coordination
- Assist Executive Director, Artistic Director, and artists in coordinating all performance-related events
- Assists front-of-house personnel with any ticketing issues at various venues
Other Requirements:
- Maintain an efficient and current filing system (both paper and electronic)--create new files and filing systems when needed
- Basic knowledge of QuickBooks and Accounts Payable oversight
Qualifications:
- Two to three years of steady experience working as an administrative or executive assistant, organizing daily operations in a busy environment
- Previous experience in a non-profit organization is and/or with grant writing is strongly desirable
- Strong computer (Windows, Microsoft Word, PowerPoint, Excel, desktop publishing and troubleshooting) and typing skills
- A high degree of accuracy and attention to details
- Ability to work with diverse personalities while maintaining diplomacy, sense of humor, and both a calm and polished demeanor under extreme pressure
- Excellent grammar, communication and verbal skills
- Must be a self-starter with strong problem solving initiative
- Willingness to work occasional evenings and weekends
- Background in classical music desired but not required
- Fluency in Spanish, both written and verbal, desired but not required
